This happens usually if you have a lot of hits. This is caused by the default settings which only show you the latest 2000 matches.
You can change this limit in the options at the tab “Searching”. You can also restrict your query with additional terms to make your search more efficient.

I have problems to use the automatic updater. It doesn't work. I'm not able to get the update. What should I do?

First, please uninstall Lookeen completely. Afterwards download the latest version here.

Are only the search terms saved by the Lookeen Favorites?

No. Lookeen saves the favorites as complex search queries. This means, that parameters like time-span or file extensions are also saved in the according favorite item.

The search term *.xls or e.g. *.doc does not display the required search results! What could I do?

Search with the term: xls* instead of *.xls – now you can find the files easier.

Can I clear the search history?

Yes. Go in your search result window to “History”->”Clear history”.

I’m not able to find attachments, why?

In order to find attachments your Windows and Office need the current service packs from Microsoft. Currently this is SP3 for XP and SP1 for Vista. Further information you can find here.

And please also check the following FAQ in the chapter "Vista/Office 2007" if you use Office 2007:
"I have problems finding Office 2007 files like .xlsx or .docx. What can I do?"

And please also check the following FAQ in the chapter "Vista/Office 2007" if you use Office 2007.

I have installed .NET 3.5 and now I'm not able to install Lookeen any more? Or: After updating .NET 3.5 Lookeen is not running any more?

There was a new update for .NET 3.5 at the beginning of this year called "Service Pack 1". For this Service Pack 1 there are several hotfixes available which you have to install, too. Please visit http://code.msdn.microsoft.com or http://www.microsoft.com/downloads in order to search for the required hotfixes for your system.

The index will stop incorrectly or Outlook will be shut down incorrectly during the indexing process or I'm not able to close Outlook correctly - what can I do?

This can have various reasons
Please go to the Lookeen options and deactivate in the tab “Index Details” the option “Index Attachments”. Is the Index running through now? If it does, you have a corrupt attachment that hinders Lookeen to index correctly.
You can fix this issue by running the “scanpst.exe” to repair your archives. For further information please go here.

Additionally make sure that you have installed the latest Adobe iFilter on your system. For further information see:
www.ifilter.org.

It also might be possible that your system requires the native “Outlook Objekt Model”. Go to options “-> tab “Index Details” -> and activate “Use pure OOM Methods only”.

Although I installed the newest version of Lookeen, I got the error message: "Lookeen has a problem opening Outlook item."?

In order to track moved or deleted emails, the origin- and the target folder have to be indexed. E.g. if you delete an email, the folder "Deleted Items" has to be in the index, too. If not, Lookeen is not able to know where the email goes to. Please check in Options>Indexer, if all affected folders (folders from or in which you are moving emails) are selected and in the index.

If you update Lookeen from an older version to the version 638 (or newer) you have to do a complete re-indexing. Moved or deleted emails done with an older version are not traceable for Lookeen. This only works in version 638 or in newer versions. If so, please go to Options>Indexer and click on "Clear index".
If you are searching for an item from a shared index, ensure that the publisher of the index added the index data via UNC-path. Above that, please check if you have added the index as a UNC-path too.

After reinstalling Lookeen it reports that my trial period is over and I have to buy it although I have already bought and registered it in the last version?

This might be caused by an older Lookeen install. To get another trial period, please contact us via info@lookeen.com.

I cannot search terms within PDFs, but in all other files – what’s wrong?

Please install the IFilter from Adobe.

If I start Outlook 2003 after uninstalling Lookeen before, I get an error message concerning "extension...redemption.dll...could not be loaded or installed...", what shall I do?

If you don't want to use Lookeen any more, please do the following:
Select in the Outlook 2003 toolbar “Tools\Options\Other\Advanced Settings” and uncheck "Redemption Helper Outlook Extension".

Please take a look at the "Vista/Office 2007" FAQ section for the adequate hint.

My Outlook® seems to be idle in the online-mode (Exchange). What should I do?

Please quit the server request.

In the Lookeen search result window are invisible e-mails, or lines are missing!

You chose in the menu Options > Searching > Highlighting the colour white! Please do not use the color white for this function!

The toolbar of Lookeen® can still be seen but some functions are limited. What do I have to do?

In that case your trial version of Lookeen® has expired. 14 days have passed. To buy Lookeen®, click here and follow the instructions. If you do not wish to buy Lookeen® - which we would regret very much - you can uninstall it.

The toolbar of Lookeen® cannot be seen in Outlook® anymore, what should I do?

For Windows XP users: You may have accidentally uninstalled Lookeen®. Please check this at Start\Control Panel\Add or Remove Programs\. There you will see the “Lookeen” register, if it is really still installed.

1. The system may have switched off Lookeen® in the Add-In Manager, which is located in the Outlook® toolbar; select

Tools\Options\Other\Advanced Settings

and check there whether in the “Add-In Manager" or in the “Com-Add-Ins” Lookeen is switched off (the box is unchecked). After doing so (please check the box of Lookeen), the Lookeen® toolbar will appear again.

2. Another solution is: click on “Help” in the Outlook® toolbar, then on "Info" and “Disabled Items” search if Lookeen is listed there and if so, activate the Add-In Lookeen® here by selecting it and by clicking on "activate".

3. Maybe the system has switched off Lookeen® in the Outlook® menu – please go to “Tools” and then “Customize” and mark Lookeen® in this menu (the first tab "Symbols") in order to switch on Lookeen®.

4. Finally you can run the diagnostic tool of Outlook. Please go to Help -> Office Diagnostics…

I'm unable to install Lookeen, the installer shows an error message referring to the adxloader.log file!

Please deactivate the User Account Control if you are using Windows Vista or adjust it to the lowest level on Windows 7. If the problem occurs anyway, this can be because your .NET 3.5 version is old or has been changed. Please reinstall .NET 3.5, the service pack 1 of .NET 3.5 and the C++ 2008 redistributable.

On some searches I get hits, but in my search result window I cannot see any results. If I change the tab, then I can see my results. How can this be?

Lookeen remembers the last opened tab. If you had “Attachments” opened in your last search and the actual result has no matches in “Attachments, the tab “Attachments” is opened to you without any items.

Some of our networks are very slow. If Lookeen is indexing those networks, this lasts quite long. Can I exclude chosen network resources?

Yes. Go to “Options”->”System” and activate the “Network detection”. Enter all desired Networks into the “Blacklist”. If one of these networks is active, you will be warned before Lookeen indexes it.

Although a network is active which is on the Blacklist, Lookeen indexes anyway if I start the indexer. Why?

Lookeen warns you, when an automatic indexing starts and a network on the Blacklist is active. But if you start the index manually, Lookeen assumes that you are aware of this fact.

We have ported all data of our company from Groupwise to Exchange Server. Are we able to index those data?

Lookeen also indexes data which has been ported from Groupwise to Exchange Server. However some fields of the data can get lost during the porting. We have no influence on that.

Sometimes Lookeen does not index attachments. Why?

To index the content of attachments and items like PDF-files, you need the according IFilter.
For further information and links to the latest IFilter go to www.ifilter.org.

Vista/Office 2007:

I have problems finding Office 2007 files like .xlsx or .docx, what can I do?

In order to index the new files of Office 2007, you have to do the following:

1. Please check in Options>Preferences in "Files and attachments" if the needed files are listed. If not, add them manually, delete your index (in Options>Index) and rebuild the complete index.

2. Please check if you have already installed the Office 2007 Service Pack 1 from Microsoft, if not, please download it from here.

3. Please check whether you have already installed the new iFilter Pack from Microsoft, if not, please download it from here.
Sometimes especially .docx files are not found anyway. Then go to your install folder (usually C:\Program files\Axonic\Lookeen) and create a new text file. This file can be created without any content. Please name this file “docx.bin” and set up your index from the scratch.

I'm not able to uninstall Lookeen, why?

Please run the setup.exe as administrator (to do so use SHIFT+Rightclick --> Run as...). Then select "Remove".

If I start Outlook 2007 after I have uninstalled Lookeen before, I get an error message concerning "extension...redemption.dll...could not be loaded or installed...", what shall I do?

Please go in Outlook 2007 to: Tools>Trust Center>Add-ins

Switch from "COM Add-ins" to "Exchange Client Extensions" and press "Go".

Uncheck the checkbox at "Redemption Helper Outlook Extension". Press "ok".

I can’t see Lookeen in Windows Vista/Outlook 2007 despite the fact that the installation was successful. Why not?

1. First possibility is that Lookeen is not activated in the Add-In Manager. To change this, go to „Trust Center“ in the Outlook menu. Select „Add-ins“. Under "Inactive Application Add-ins", you should be able to find a Lookeen entry here. Select this and click on "Go To", tick the box next to Lookeen and click on OK. Lookeen is now among the „Active Applciations – Add ins.“
2. Second possibility: click on "Help" in the Outlook 2007 toolbar and then check "Disabled Items" - Lookeen must be enabled!
3. Third possibility: go to Tools>Customize>Toolbars and mark the checkbox "Axonic Lookeen".

4. Another possibility is that the "User Account Control" (UAC) is deactivated. Please switch this on. Go to Start/Run, and type in "msconfig". Click on enter. In "Tools", look for the option „Enable User Account Control.“ Mark this and click on "launch". You’ll need to restart your computer.

5. Eventually you can run the diagnostic tool of Outlook. Please go to Help -> Office Diagnostics…

I am not able to install Lookeen or I get an error code 2869 when trying to install Lookeen. What shall I do?

Please make sure before starting the installation that Outlook has been completely closed (also check the task manager). In most of the cases the error code 2869 does no longer come up at a new start of a Lookeen installation.

If this was not the reason for not being able to install Lookeen, please try one of the following three solutions. Starting with solution A, in case this does not help, go on with solution B and if the problem still was not solved, solution C might help.

Before starting to try the solutions given please check the following: Had the User account control been deactivated? Please activate this control by Start -> run -> enter "msconfig" and select the entry "activate user Account Control" on tab "tools". After this activation you will have to restart your PC.

A
1. Try to uninstall the Lookeen version (if not possible proceed with the point 2)
2. Delete the folder "Lookeen" in the directory C:\Users\[YOUR NAME]\AppData\Local (you have to enable in your Windows Explorer in Tools>Folder Options>View "Show hidden files and folders"!!)
3. Delete the folder "Axonic" in directory C:\Programs or in C:\Program Files
4. Start the installation of a new Lookeen version

B
1. try to delete Lookeen by proceeding the steps described in solution A
2. right-click on the setup.exe (by the way NEVER start the Lookeen.msi for the installation, but the setup.exe) and select "Execute as administrator"

C
1. try to delete Lookeen by proceeding the steps described in solution A
2. create a folder on C: level named "Lookeen"
3. move the data files "setup.exe" and "Lookeen.msi" into this folder
4. open the windows program "Editor" or "Notepad"
5. enter the following: msiexec /i c:\Lookeen\Lookeen.msi /l* msilog.txt
6. save this file to the desktop and change the file extension ".txt" into ".bat" and rename the file to whatever name
7. right-click on this file on desktop and select "Execute as
Administrator"

I would like to set up different Shared Indexes to share them with different user groups. Is this possible?

The Lookeen Server Edition has been developed for this. By using services, several indexes can be created and even indexed automatically and incrementally. Are you interested in a Lookeen Server Application or do you need further information? Simply contact us via sales@lookeen.com.

Tips&Tricks:

If I check the messages in the progress window during indexing, I can see some error messages - some folders or even whole archives cannot be indexed, why?

The PST file you've tried to index has to be repaired. Please use the tool "scanpst.exe" in order to repair your PST file - afterwards you'll be able to index it with Lookeen.

What is that “Shared Index”, how does it work and why do I need it?

Imagine you have archived several pst-files in the last years. There have been no changes made to these archives, but you still need information out of them.
Another common case for using the Shared Index is when you need the information from one source distributed to several users.

The Shared Index is a feature of Lookeen to index data centralized. Afterwards, an optional number of users can add this index to their index-sources and search through it – even open items from this source.
This makes the Shared Index to a powerful feature that preserves your indexing efforts and your system resources.

Here is an explanation, how to configure a Shared Index:

1. Create a new Outlook profile
2. Start Outlook with this new profile - this will be from now on your "Shared Index" creating/updating profile. Please consider: Local path has to be added as a UNC-path. When choosing the location do not use the “Computer”, use the “Network” to choose the desired folder.
3. Add to this Outlook profile the stores and archives you seldom want to change, the Outlook archives you're not really working with - the typical old stuff, archives, etc.
4. Go to the Lookeen options and add these stores with the button "Add Outlook Archives" and index them.
5. Please note the path which will be named in Options> Tab "System".
6. Now close this Shared Index profile and start Outlook with your "working/recent" profile.
7. Here you can close all old ones of these aforementioned archives in Outlook.
8. Now go to the Lookeen options, add the stores you want to index with that profile – the ones you use every day (e.g. your recent mailbox) and index them.
9. Afterwards go to the tab "Shared Index" and just add the path to your index which you have created with the other profile - with just 2-3 clicks!
10. Now you're able to search in both indexes. You can open items you've found with Lookeen out of the shared index WITHOUT being forced to open the archive in Outlook too!!!

How can I designate colors to people in Outlook®?

This is a useful function in Outlook®. Go to Tools in the Outlook® menu, click on „Organize“ then select „Using Colors“. Choose an e-mail from the person whom you would like to designate a color. The name of the person will be listed under organizer options. You can select the desired color and then click on „Accept Color.“ This contact will appear in your mailbox in the selected color. This function enables you to differentiate people in your mailbox easier.

What is the difference between the options “One single settings file for all profiles” and “One settings file per profile (default)”?

If you use different Outlook profiles it might be useful to have one setting for all of your Outlook profiles. If you would like to use Lookeen like that, choose the option “One single settings file for all profiles”.
But if you would like to have different settings for Lookeen for each of your profiles, choose the option “One settings file per profile (default)”.

How can I encrypt the directory in which my index is located in order to protect it from undesired access from other users?

Here is a guide from Microsoft to encrypt folders.
